Quick Start — Your First 10 Minutes on FlockDash

Follow these steps to get your farm up and running. Most farmers complete the setup in under 10 minutes.

Create your farm account Go to flockdash.com, click "Start free trial", and enter your name, email, and password. No credit card needed.

Set up your farm profile Go to Settings → Farm Profile. Enter your farm name, country (Rwanda, Uganda, Kenya, Tanzania, or Ethiopia), currency, and address. This information appears on reports and compliance documents.

Create your first pen Go to Livestock → Pens and click "Add pen". Enter the pen name (e.g. "Brooder A"), type (brooder, grower, layer, etc.), and capacity (maximum number of birds). This is required before you can add a batch.

Add your first batch Go to Livestock → Batches and click "New batch". Select species (chicken, turkey, pig), breed (Kenbro, KARI improved, etc.), pen, initial bird count, start date, and chick supplier. Your batch is now active.

Log your first weight Inside your batch, click "Add weight record". Enter the sample size (how many birds you weighed) and the average weight in kg. FlockDash automatically calculates Average Daily Gain (ADG) and updates your FCR.

Add feed stock Go to Feed → Stock and add your feed type (starter, grower, finisher), supplier name, quantity in kg, and cost per kg. You can then log daily consumption against your batch.

Invite your team (optional) Go to Settings → Users and click "Invite user". Enter their email and assign a role (Veterinarian, Accountant, Worker, Farm Manager). They'll receive an invite email.

Once you've completed these 7 steps, your FlockDash dashboard will start showing live KPIs — bird count, mortality rate, FCR, and feed cost — all calculated automatically from the data you log.

Creating a Batch

A batch is a group of birds placed in a pen at the same time. Each batch has its own production metrics, health records, and financial summary. For chickens and turkeys, you always use batches — not individual animals.

Go to Livestock → BatchesClick the "New batch" button in the top right.

Fill in the batch formRequired fields: species, breed, pen, initial count, start date (hatch or arrival date). Optional: chick supplier, purchase cost, notes.

Save the batchThe batch will appear as "Active" on your dashboard. The batch code is auto-generated (e.g. BATCH-2026-001) but can be edited.

ℹ️

You must create a pen before creating a batch. Go to Livestock → Pens → Add pen first. Each pen must have a capacity set — this is used for stocking density calculations in the GAP audit.

Recording Weights

Weekly weight sampling is essential for tracking growth performance and FCR. FlockDash calculates Average Daily Gain (ADG) automatically from your weight entries.

Go to your batch → click "Add weight"
Enter the sample size (e.g. 20 birds weighed out of 500) and the average weight in kg
FlockDash calculates total estimated flock weight and plots it on the growth chart
FCR is updated automatically when both a weight record and feed consumption records exist

💡

For Kenbro broilers, aim to weigh every 7 days. Target weight at 8 weeks is 1.8–2.0 kg. If your batch is below this curve, the AI Advisor will flag it.

Recording Mortality

Mortality records are used for calculating mortality rate (%), which feeds into your NAEB export compliance score and farm credit score.

Go to your batch → click "Log mortality"
Enter the count, date, and cause (disease, injury, unknown, heat stress, etc.)
If the cause is disease, you'll be prompted to link it to a health event
The batch's current count decrements automatically

⚠️

If mortality spikes above 5% in a single week, the AI will generate an alert. A vet should be consulted and a health event should be logged to document the cause — this is required for both NAEB export certification and GAP compliance.

Managing Pens

Pens are the physical housing units on your farm. FlockDash tracks live occupancy per pen and alerts you when capacity is exceeded.

Individual Animals (Pigs, Cattle, Goats)

For species where you track animals individually (pigs, cattle, goats), use Livestock → Animals instead of Batches. Each animal has a unique tag number, sex, date of birth, and sire/dam lineage.

Closing a Batch

Close a batch when all birds have been sold or the production cycle is complete:

Go to the batch → click "Close batch"
Enter the actual end date and any closing notes
Status changes to "Completed" — the batch is locked but all records remain accessible
The final P&L, FCR, and mortality rate are calculated and locked in the BatchFinancial record

Logging a Health Event

FlockDash tracks all health events — disease observations, vaccination sessions, and drug treatments — in one unified timeline per batch. This data feeds directly into your NAEB export compliance score and your GAP audit.

Recording a Vaccination

Go to Health → Log eventSelect event type "Vaccination".

Fill vaccine detailsVaccine name (e.g. "Newcastle B1"), vaccine batch/lot number, date administered, dose per bird (ml), and who administered it. If a vet administered it, select from your vet directory or add a new vet.

💡

Rwanda's standard broiler vaccination schedule: Newcastle (ND) at day 7–14 (booster day 21–28), Gumboro/IBD at day 14–21 (booster day 28–35), Infectious Bronchitis (IB) at day 1–7. Logging these on time is required for NAEB export reports.

Recording a Drug Treatment

When you give medication to a batch, always record the withdrawal period. This is critical for export compliance — FlockDash will flag if animals are sold before the withdrawal period has elapsed.

Withdrawal period in days (check the drug packaging — standard is 7 days)
Start and end dates of treatment

⚠️

Do not sell birds before the withdrawal period is complete. FlockDash checks all treatment dates against your sales orders when generating NAEB export reports. Uncleared withdrawal periods block a "Ready" export status.

Vet Directory

Add your veterinarians under Health → Vets. Store their name, phone, registration number, and specialisation. Linking vets to vaccination and treatment events is required for the GAP audit's veterinary health plan requirement.

Setting Up Feed Stock

Before you can log daily feed consumption, you need to add your feed stock inventory.

Go to Feed → Stock → Add stock

Enter supplier detailsSupplier name is required for GAP compliance. Enter quantity purchased (kg), unit cost (RWF/kg), and delivery date.

Logging Daily Feed Consumption

Daily feed logging is the data source for your FCR calculation. The more consistently you log, the more accurate your FCR will be.

Go to Feed → Log consumption
Select the feed stock used and the batch it was fed to
Enter the quantity consumed in kg for that day
The total cost is calculated automatically from the stock's unit price

💡

FCR Formula: Total feed consumed (kg) ÷ Total weight gain (kg). A good Kenbro broiler FCR is ≤1.9. If your FCR is above 2.4, the AI Advisor will flag this and suggest possible causes (disease, waste, wrong ration stage).

Understanding FCR

Feed Conversion Ratio (FCR) is the most important production efficiency metric. It tells you how many kg of feed it takes to produce 1 kg of live weight gain.

Recording Expenses

Log all farm costs under Finance → Expenses. Expenses can be attributed to a specific batch (e.g. chick cost, feed, drugs) or to the farm generally (e.g. electricity, repairs).

Enter the amount, payment method, and reference number (receipt number)
To link to a batch: select the batch in the "Link to batch" field
Upload a receipt photo (optional but recommended for audit trail)

Batch P&L (Profit & Loss)

FlockDash automatically calculates a complete P&L for every batch by aggregating all expenses and sales linked to it. View it inside any batch under the Financial Summary tab.

On Pro and above, you can schedule reports to be emailed automatically — daily, weekly, or monthly. Go to Reports → Scheduled reports → New schedule.

Tasks

Use Tasks to assign and track daily farm work. Tasks can be one-off or created from reusable templates (feeding rounds, vaccination days, cleaning schedules).

Set the title, category (Feeding, Health Check, Cleaning, Weighing, Vaccination, Other), priority, and due date
Assign to a worker — they'll see it on their task list
Workers mark tasks complete; you see completion rates in the Labour dashboard

Workers & Payroll

Under Labour → Workers, add your farm employees with their daily or monthly wage. Link workers to tasks for time tracking. Generate payroll records under Labour → Payroll for each pay period.

If you're part of a cooperative, the Shared Worker Pool feature (Growth plan) lets you manage workers who serve multiple farms and splits their payroll cost proportionally by hours worked at each farm.

AI Farm Advisor

The AI Advisor is a conversational assistant powered by Anthropic's Claude AI, available on Pro and above. It answers questions about your farm using your actual data — not generic farming advice.

FlockDash automatically generates AI alerts every night by analysing all active batches. Alerts appear on your dashboard and can be sent by email.

Growth+

What is the Cooperative Module?

The Cooperative module lets a cooperative administrator manage 20–200 member farms from a single account. It provides aggregated production data, collective purchasing, collective sales to processors, shared vet scheduling, and payroll splitting for shared workers.

Inviting Member Farms

From the Cooperative dashboard → Members tab → Invite farm. Two ways to invite:

By email — for farms not yet on FlockDash. They'll receive an invitation email with a secure link.
Find existing farm — search for a farm already on FlockDash by name and send them a join request.

The invited farm can accept from the invitation email or from their FlockDash account. Invitations expire after 30 days.

Collective Sales

Use Collective Sales to negotiate a group sale to a processor or exporter on behalf of all member farms:

Create a collective saleEnter the buyer name, buyer type (processor/exporter/retailer), negotiated price per kg, and minimum reserve price.

Open for commitmentsAdvance status to "Open". Member farms can now commit their available quantity.

Confirm and settleWhen all commitments are in, advance to "Confirmed" → "Delivered" → "Settled". FlockDash calculates each farm's net proceeds after the cooperative's fee.

Data Consent

Each member farm controls what data it shares with the cooperative. From Members → your farm → Consent settings:

Production data — allows the cooperative admin to see your FCR, mortality, and batch counts in the aggregated dashboard and leaderboard
Financial data — allows revenue and margin benchmarking
Purchasing participation — allows you to participate in collective purchase orders and collective sales

Contract Farming

In a contract farming arrangement, a processor assigns you a production contract with specific quality targets (weight, mortality, FCR). FlockDash tracks your compliance against these targets in real time.

ℹ️

Contracts are created by the processor and assigned to your farm — you do not create them yourself. When a processor assigns you a contract, you'll receive an email notification with all the details.

Acknowledging a Contract

When you receive a contract assignment email, click the "Acknowledge contract" button in the email, or log in to FlockDash → Contracts → click "Acknowledge" on the pending contract.

Understanding Your Compliance Score

FlockDash automatically computes a compliance score (0–100) for every batch under contract, checked twice daily:

60–84	At risk	Minor issues — weight or FCR slightly off target. Take action.
30–59	Behind	Significant issues. Contact your contract coordinator.

Contract Milestones

Some contracts include milestones (e.g. "Reach 1.5 kg by day 28"). Go to your contract → Milestones tab to view them. You can mark milestones as Met or Missed using the edit (✎) button next to each milestone row.

What Is the Farm Health Credit Score?

The Farm Health Credit Score converts your FlockDash production and financial data into a standardised credit report that banks and MFIs (e.g. Bank of Kigali, Urwego, UNGUKA) can use for loan decisions — without requiring additional paperwork from you.

How the Score Is Calculated

To improve your score: log data consistently (daily feed, weekly weights, all health events), close batches properly when complete, and record all sales with payment status marked as "Paid" when received.

What Is Export Certification?

Rwanda's poultry exports to DRC, Uganda, and Kenya must satisfy NAEB (National Agricultural Export Development Board) inspection requirements. FlockDash compiles all required data from your existing records and generates a one-click compliance report suitable for NAEB inspection submission.

Prerequisites

For the best readiness score, make sure the following data exists before generating a report:

Vaccination records (Newcastle, Gumboro, IB) for all export batches
All drug treatments recorded with drug names and withdrawal periods
Mortality records logged for all batches
Batch details complete (species, breed, chick supplier, pen)
No open (unresolved) health events
Latest weight ≥1.8 kg (minimum for DRC/Uganda markets)

Go to Settings → Farm Profile to configure:

Inviting Users

Go to Settings → Users → Invite user. Enter their email address and select a role:

Billing & Subscriptions

Go to Settings → Billing to upgrade your plan, view your current plan features, and download invoices. Payments are processed via Flutterwave — you can pay by MTN Mobile Money, Airtel Money, or bank card.

Production Records

FlockDash tracks production output for layers (eggs), pigs (farrowing), and poultry breeders (hatch rates).

Egg Production (Layer Flocks)

Go to Production → Egg records → Log today's production
Enter total eggs collected, broken/soiled eggs (subtracted from sellable), and any set for hatching
Hen-day production % is calculated automatically: eggs collected ÷ laying hens × 100

Farrowing Records (Pigs)

Go to Production → Farrowing → New record
Link to the breeding record (sow + boar), enter total born, born alive, stillborn, and average birth weight
When piglets are weaned, update the record with weaning date, piglets weaned, and average weaning weight

Hatch Records (Broiler Breeders / Hatchery)

Go to Production → Hatch records → New record
Enter eggs set, fertile eggs (after candling), and eggs hatched
Hatch rate % is calculated automatically

Creating a Sales Order

Go to Sales → New order

Select or create a customerSearch for an existing customer or add new (name, phone, type: individual, market, restaurant, wholesaler, etc.)

Add line itemsFor each product sold: description (e.g. "Live broiler chickens"), quantity, unit (head, kg, dozen), and unit price. Select the batch the animals come from.

Set payment statusMark as Unpaid, Partial, or Paid. When payment is received, update the amount paid to keep your credit score accurate.

Price Lists

Under Sales → Price lists, set your standard prices per product type. These auto-fill into new orders, saving you time on each sale.

💡

Always mark sales as "Paid" when money is received. Outstanding payments negatively affect your Farm Credit Score (Repayment pillar). A good payment record can improve your grade by one level.

Frequently Asked Questions

I can't see a feature I expected — why?

Most advanced features are gated to specific subscription plans. Check the feature plan table to see which plan unlocks the feature you need. You can upgrade at any time from Settings → Billing.

My batch FCR looks wrong — how is it calculated?

FCR = Total feed consumed (kg) ÷ Total weight gain (kg). Weight gain = (latest weight per bird × current count) − (initial weight per bird × initial count, if known). If your FCR is showing very high values, check that you haven't entered feed in grams instead of kg, and that your weight records are entering kg per bird (not total flock weight).

The "Generate full report" button is disabled on the Export Certification page

You need to select at least one batch using the checkboxes before the button becomes active. The button uses a reactive check — if you've ticked a checkbox and the button is still greyed, try refreshing the page.

My GAP audit score is lower than expected

The most common reason is missing data in FlockDash rather than actual non-compliance. Check the Checklist tab and look for auto-evaluated requirements marked as failing. Click "Guidance" on any failing row to see exactly what data FlockDash is looking for.

Can I use FlockDash offline?

FlockDash is optimised for low-bandwidth connections — core data entry (weights, mortality, feed) works on 2G/EDGE. AI features (AI Advisor, Disease Detector) require a stable internet connection for the Claude API calls, but all your data is cached locally and synced when you reconnect.

How do I delete a mistake I logged?

All records support soft-delete — they are never permanently deleted. Go to the record, click the three-dot menu (⋯) and select "Delete". The record disappears from your dashboards but is preserved in the audit log. If you need to permanently delete data, contact support@flockdash.com.
