Privacy Policy

1. Introduction

FlockDash ("FlockDash", "we", "our", "us") is committed to protecting your personal information and your right to privacy. This Privacy Policy explains how we collect, use, and safeguard information when you use our farm management platform available at FlockDash.africa and our mobile and web applications.

By using FlockDash, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use our services.

2. Data We Collect

We collect the following categories of information:

• Account information: Name, email address, phone number, and password (stored as a bcrypt hash — we never store plain-text passwords).
• Farm data: All information you enter into FlockDash — animal records, batch performance, health events, feed consumption, financial transactions, and so on. This data belongs to you.
• Usage data: Pages visited, features used, clicks, and session duration. We use this to improve the product — never to profile you for advertising.
• Device information: Browser type, operating system, and IP address for security and debugging purposes.
• Photos: If you use the AI Disease Detector, photos you upload are sent to Anthropic's Claude API for analysis and are not stored by FlockDash beyond 24 hours.
• Payment data: We use Flutterwave for payment processing. FlockDash does not store your card numbers or mobile money PINs — only a transaction reference and status.

3. How We Use Your Data

We use the data we collect to:

• Provide, maintain, and improve the FlockDash platform
• Send you product updates, security alerts, and support messages
• Generate scheduled reports and email them to you or your team members
• Send AI-powered alerts when your farm data triggers a risk threshold
• Process subscription payments and manage your billing
• Analyse aggregate (anonymised) usage patterns to improve the product
• Comply with legal obligations under Rwandan law (Law No. 058/2021 on Personal Data)

We never use your data for advertising targeting. We never sell your data to third parties.

4. Sharing Your Data

We only share your data with:

• Your team members: People you invite to your farm account can see the data you give them access to, based on their role permissions.
• Service providers: We use a small number of trusted sub-processors including Anthropic (AI), Flutterwave (payments), and our hosting provider. Each is bound by a data processing agreement.
• Legal requirements: If required by Rwandan or applicable law, court order, or governmental regulation.

We do not share your farm data with competitors, agricultural buyers, insurance companies, or any third party without your explicit written consent.

5. AI & Third-Party Services

FlockDash uses Anthropic's Claude AI for the following features: AI Advisor, Disease Detector, Feed Optimizer, Market Price Advisor, and Mortality Predictor.

When you use these features, your query and relevant farm context (batch data, health events, photos) are sent to Anthropic's API. This data is used solely to generate the AI response and is not retained by Anthropic for training purposes under our API agreement.

Photos uploaded to the Disease Detector are transmitted to Anthropic's API and are not stored by FlockDash for more than 24 hours after the analysis is complete.

We do not use your farm data to train our own AI models or Anthropic's models.

6. Data Storage & Security

Your data is stored on servers located in the European Union. We use industry-standard encryption (TLS 1.3 in transit, AES-256 at rest) and conduct regular security audits.

We retain your account data for the duration of your subscription plus 90 days after cancellation, after which it is permanently deleted. You can request immediate deletion at any time (see Section 7).

We implement role-based access controls, bcrypt password hashing, CSRF protection, and regular automated backups.

7. Your Rights

Under Rwanda's Law No. 058/2021 on Personal Data and the GDPR (where applicable), you have the right to:

• Access: Request a copy of all data we hold about you
• Portability: Export your farm data in JSON or CSV format from the FlockDash settings
• Correction: Update inaccurate personal information
• Deletion: Request permanent deletion of your account and all associated data
• Objection: Object to certain types of processing
• Restriction: Request that we limit how we use your data

To exercise any of these rights, email support@flockdash.com. We will respond within 30 days.

8. Cookies

We use the following types of cookies:

• Essential cookies: Required for the platform to function (session tokens, CSRF tokens). Cannot be disabled.
• Analytics cookies: We use a self-hosted analytics tool that does not share data with third parties. You can opt out via the cookie banner.
• Preference cookies: Remember your language, currency, and UI preferences.

We do not use advertising cookies or third-party tracking cookies.

9. Children's Privacy

FlockDash is intended for users aged 18 and over. We do not knowingly collect personal information from anyone under 18. If we become aware that a minor has provided personal information, we will delete that data immediately.

10. Changes to This Policy

We may update this policy from time to time. When we make significant changes, we will notify you by email at least 14 days before they take effect. The "last updated" date at the top of this page indicates the most recent revision.

Your continued use of FlockDash after the effective date of a revised policy constitutes your acceptance of the changes.
